Nekhes Privacy Policy

This Privacy Policy explains how Nekhes collects, uses, discloses, and protects information when you use the Nekhes mobile, web, and desktop applications and related hosted pages (the "Service"). Nekhes is operated by Daniel Belokon and is a property coordination app for landlords, tenants, and property participants to manage properties, tenant access, maintenance tickets, property chat, uploaded documents, and related activity.

1. Information We Collect

We collect information that you provide, information created when you use Nekhes, and limited information from service providers needed to run the app.

Account and sign-in information

  • Name, display name, email address, profile photo URL, user ID, and sign-in provider details.
  • Authentication information needed to sign you in. Email/password and Google sign-in are handled through Firebase Authentication and Google services.
  • Information received from Google Sign-In when you choose to sign in with Google, such as your Google account email, name, and profile photo.

Profile and contact information

  • Optional phone number or other contact details you add to your Nekhes profile.
  • Public profile information, such as display name and photo, that helps connected landlords and tenants recognize each other inside a shared property workspace.

Property, tenancy, and invitation information

  • Property names, addresses, rent amounts, tenant rent shares, owner and tenant membership, pending tenant records, and property status.
  • Tenant invite details, including invite IDs, invite status, invited email address for email-based invites, requester name, requester email, requester phone if provided, and approval or rejection activity.

Tickets, chat, activity, and user content

  • Maintenance ticket titles, descriptions, statuses, comments, status-change events, timestamps, and the user who created or updated the ticket.
  • Property chat messages, message timestamps, sender details, linked document IDs, and last-message previews.
  • Activity and notification records related to invites, tenant access, chat messages, document sharing, ticket updates, and similar app events.

Uploaded files and document metadata

  • Files you upload, currently including PDFs and image files selected through the app.
  • Document titles, descriptions, type, storage path, upload time, uploader ID, file size, and MIME type.

Billing and subscription information

  • Subscription tier, product ID, billing provider, subscription status, current period end date, package name, and purchase verification token.
  • Payment card numbers and full payment details are handled by Google Play or the applicable app store, not directly by Nekhes.

Device, notification, and technical information

  • Device notification tokens used to send push notifications if notifications are enabled.
  • Technical information processed by our hosting, authentication, database, storage, messaging, and security providers to operate and protect the Service.
  • Local app preferences, such as pending invite state or dashboard mode preferences, stored on your device where needed for app functionality.
  • Analytics and diagnostics information, such as app interactions, feature usage, crash reports, error information, and basic device or app metadata used to improve the Service.

We use analytics and diagnostics information to understand product usage, detect and fix problems, and improve the reliability and performance of the Service. We do not use personal information for advertising.

2. How We Use Information

  • To create, authenticate, secure, and manage Nekhes accounts.
  • To provide property, tenant-management, invite, ticket, chat, document, notification, and subscription features.
  • To control access so only authorized owners, tenants, invitees, and requesters can view or update relevant property information.
  • To upload, store, download, share, and delete property documents and ticket attachments as directed by authorized users.
  • To send service notifications, such as chat, invite, tenant access, ticket, and document activity notifications.
  • To verify Google Play subscriptions, apply plan limits, and manage billing-related entitlement records.
  • To analyze how features are used, measure core workflow completion, investigate crashes and non-fatal errors, and prioritize product and reliability improvements.
  • To respond to support, privacy, legal, security, and account deletion requests.
  • To monitor, troubleshoot, protect, and improve the Service, including preventing abuse, enforcing access rules, and maintaining backups.
  • To comply with applicable laws, legal process, and enforceable governmental requests.

Our legal bases include performance of a contract or requested service for property orchestration, tenancy coordination, ticket handling, document sharing, billing, and account access; consent for optional push notification delivery and optional profile details where required; legitimate interests for security, abuse prevention, diagnostics, and service improvement; and legal obligation where records must be kept or disclosed under applicable law.

3. How Information Is Shared

Nekhes is collaborative by design. Information you add to a property, ticket, document, chat, invite, or request may be visible to other authorized users connected to the same property or workflow.

  • Landlords and property owners can see property records, tenant records, pending invite records, join requests, tickets, documents, chat, and activity for properties they manage.
  • Tenants and approved participants can see property information, tickets, documents, chat, and activity for properties they are authorized to access.
  • Invite recipients and request-link users may see limited invite context, such as property name, property address, invite status, and instructions needed to join or request access.
  • Other participants may see your display name, profile photo, messages, comments, uploaded document metadata, ticket activity, and related timestamps where those items are part of a shared property workspace.

We also share information with service providers that process data for us and help operate the Service, including providers for authentication, database, file storage, hosting, cloud functions, push notifications, app security, and subscription purchase or verification. These providers may process information as needed to provide their services, comply with law, and protect their systems.

We may disclose information if required by law, legal process, or enforceable governmental request; to protect the rights, safety, and security of Nekhes, users, or others; to investigate fraud or abuse; or in connection with a merger, acquisition, financing, reorganization, or sale of assets, subject to appropriate notice where required by law.

We do not sell personal information. We do not share personal information for cross-context behavioral advertising.

4. Third-Party Services

Nekhes relies on third-party services to operate. These currently include Google Firebase, Google Sign-In, Google Play Billing, and operating-system or app-store services such as notification delivery, file pickers, share sheets, and in-app purchase infrastructure. Your use of those services may also be subject to their own privacy terms and policies.

5. Security

We use safeguards designed to protect user data, including authenticated access controls, property-based permissions, and provider security features. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.

6. Data Retention and Deletion

We keep personal information for as long as needed to provide the Service, maintain property and tenant records, comply with legal obligations, resolve disputes, enforce agreements, prevent abuse, maintain backups, and support legitimate business and security needs.

  • Account and profile records are generally retained while your account remains active.
  • Property, tenancy, ticket, chat, document, and invite records may be retained while they are needed by other authorized property participants or for legal, accounting, security, or dispute-resolution purposes.
  • Uploaded files may be deleted when an authorized user deletes them, when the related property data is deleted, or when deletion is required after a verified account deletion request, subject to permitted retention.
  • Push notification tokens are removed when you sign out, disable notifications where supported, delete the app token, or when stale tokens are detected.
  • Backup copies and provider logs may remain for a limited period after deletion before they are overwritten or removed according to operational schedules.

7. Account Deletion

You can delete your Nekhes account directly in the app from Profile > Personal info > Delete Account. The app requires a security checkpoint before deletion, shows a permanent deletion warning, and then processes account deletion automatically. If you manage active properties, you must delete those properties or transfer ownership before deleting your account. If you cannot access the app, use the web fallback form at /account-deletion.

Deletion removes private account profile data, authentication records, direct user-scoped records, notification tokens, and personal uploads. Shared workspace history, such as property records, tenant history, messages, document metadata, and ticket activity, may be retained and anonymized where needed to preserve operational records for active property participants. Some information may also be retained where required or permitted by law, including records needed for security, fraud prevention, billing, tax, legal compliance, backups, or dispute resolution.

8. Children's Privacy

Nekhes is intended strictly for adults managing real estate, tenancies, property access, maintenance, and related records. The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided personal information to Nekhes, contact us so we can review and delete it where required.

9. Your Choices and Rights

  • You can update certain profile, property, ticket, document, and tenant information in the app if you have permission to edit that information.
  • You can choose whether to provide optional profile fields, such as phone number.
  • You can control push notifications through your device settings and supported in-app flows.
  • You can request access, correction, deletion, export, restriction, or objection to processing of your personal information, subject to applicable law and verification.

10. International Data Transfers

Nekhes and its service providers may process and store information in countries other than where you live. When required, we take steps intended to support lawful international transfers.

11. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date and provide additional notice where required by law. Your continued use of Nekhes after an updated policy becomes effective means you acknowledge the updated policy.
